Who we are

Reserved Hospitality ("Reserved", "we", "us") provides booking management services for independent hospitality properties in the United Kingdom, Europe and the United States. This policy explains how we handle personal data collected through our website at reservedhospitality.com.

What we collect

We collect the minimum data needed to provide our services and respond to enquiries:

• Name and email address when you submit a form or book a call
• Optional phone number, property name and website address you include with your enquiry, and business details you provide during onboarding
• With analytics consent, pages viewed, time while pages are visible, scroll depth, enquiry-link clicks, referring website, campaign source, device category, browser language and time zone
• Your IP address, browser type and approximate country, region or city where available from our hosting network, plus the page and form used to submit your enquiry

How we use your data

• To respond to your enquiry or schedule a strategy call
• To understand the context of your enquiry using the details you provide and approximate location. With analytics consent, we also attach your visit activity to the internal enquiry notification so our team can prepare a relevant response
• To provide and manage our booking management services
• To send relevant updates about your account or our services
• To improve our website and service quality

We will never sell your data to third parties or send unsolicited marketing without your explicit consent.

Enquiry insights

Visit activity starts only after analytics consent. It is held in memory in the current browser tab, resets when you reload or leave the site, and is sent to our team only when you submit an enquiry. Declining analytics still lets you use every form. You can change your choice using Cookie settings in the footer; withdrawing consent clears activity that has not yet been submitted.

We do not record keystrokes, form drafts, session replays or precise GPS coordinates. IP-based location is an estimate and may reflect a VPN or mobile network. Time on a visible page does not prove that someone read it, and visit activity is not used to make automated decisions about you. We do not include these internal insights in your confirmation email.

Once submitted, these details form part of your enquiry correspondence and are available to the team handling your request. To request deletion of correspondence already received, contact us using the details below.

Data storage and security

Our website is hosted in the United Arab Emirates and delivered through Cloudflare's global network. Enquiry correspondence is also processed by our email providers. Website connections use encryption in transit (TLS), and access to enquiry correspondence is restricted to the team handling your request.

Third-party services

We use a limited number of trusted third-party services to operate our business:

• Hosting: Website infrastructure in the United Arab Emirates
• Email: For sending transactional messages and responses
• Network: Cloudflare provides website delivery, security and approximate IP-based location. We do not send your IP address to a separate location lookup service.
• Analytics: Google Analytics 4 (provided by Google LLC), loaded only after you opt in via our cookie banner. We use Google Consent Mode and do not enable advertising features. Your enquiry details and the internal visit summary are not sent to Google Analytics.

We do not use invasive tracking pixels, retargeting cookies, or share data with advertising networks.

Your rights

Under UK GDPR, and subject to any additional rights that apply where you live, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict processing of your data
• Data portability: receive your data in a structured format

Cookies

We remember your cookie choice in local storage. Optional Google Analytics cookies and the enquiry activity summary are off by default and enabled only if you choose "Accept" on our banner. You can withdraw consent at any time through Cookie settings in the footer and choosing "Decline", or by clearing your browser's site data. We do not use advertising cookies or third-party marketing cookies.

Changes to this policy

We may update this privacy policy from time to time. Any significant changes will be communicated clearly on our website. Your continued use of our services after changes are posted constitutes acceptance of the updated policy.
